Batch a month of posts in an afternoon
Each workspace may build 100 carousels a month on One brand, 300 on Unlimited, and there is no daily cap, so you can generate the whole month in one sitting, approve them in the queue, and let Autopilot publish one at each time you set, with a random delay so it never looks like a clock. Turn Autopilot on before you approve, keep the approval switch on, and check the time zone. Agencies do this once per client workspace.
The ceiling: 100 or 300 a month, no daily cap
The monthly count per workspace, 100 carousels on One brand and 300 on Unlimited, is a ceiling, not a quota you must use. Even the smaller one is three times what a daily post needs, so passing on one never costs you the day. There is no limit on how many you build in a day. The month is your workspace's own calendar month in its time zone, and every build counts, including a post you later reject. The Autopilot panel shows the count used so far.
The practical split for a daily account: about 30 posts for the month, the rest kept for corrections, a recommendation you like one morning, or a second post on a busy day.
Before the batch: the facts and the topics
Every post is written only from the facts in Brand voice and the topic you type. Before you generate thirty posts, check the facts: current prices, this month's hours, offers, reviews. A wrong price in thirty posts is a wrong price thirty times.
Then write the topic list. For most businesses it falls out of the facts: each dish or service, each offer, each review, each question customers ask. You do not need thirty different ideas. The writer rotates the shape of the post, a checklist, a story, a myth versus fact, a before and after and so on, and avoids repeating the shape or the opening of recent posts.
Step 1. Turn Autopilot on first
This order matters. Autopilot only publishes posts approved after it was switched on. A post approved while it was off counts as approved to download, not approved to post. So:
- Open Autopilot.
- Check the Ready row: writer key, photo key, Instagram connected, plan. Connect the professional Instagram account from the Instagram panel if it is not.
- Tick Autopilot on.
- Leave Publish without my approval unticked. Off means posts wait in the queue for a human A. On means they are approved and posted as written.
- Press Save autopilot.
Step 2. Set the schedule
- Posts per day. One for a daily account. The first N publish times are used, N being this number.
- Publish times. Comma-separated HH:MM in your time zone, up to five. The defaults are 09:15 and 17:45. Pick the hour your customers are looking, and leave it.
- Time zone. Under Advanced, an IANA name such as America/New_York or Europe/Lisbon. The default is America/New_York. Publish times are read in this zone, and so is the month the count uses. If your shop is in Denver, set America/Denver before you approve anything.
- Random delay. Under Advanced, 0 to 120 minutes, default 20. Each day's times slide by a random 0 to N minutes, picked fresh each day, so posting never looks like a clock.
- Middle slides. The default post length for posts Autopilot writes on its own. 4 makes a 6-slide carousel.
Save autopilot again. The panel also shows the last tick and what it did, so you can confirm it is running.
Step 3. Generate the batch
- On the queue, type the first topic in the generate bar, an angle if you have one, and a slide count. 7 is the default; the range is 3 to 20. Instagram publishes up to 10 slides, and a longer post goes out as the first nine plus the closing, with the whole thing in the download.
- Press Generate a post. Type the next topic while it builds; you do not have to wait for one to finish before asking for the next.
- For posts that are only numbers, a price list or a timetable, Quick formats on the Compose screen build card-only posts from a form. They land in To review like any other post.
- Work through the list, watching the used-this-month count if you are close to the ceiling.
Step 4. Approve in one pass
Open To review and use the keyboard: arrows move between slides, J moves to the next post, K back, A approves, R rejects, E edits a slide, P swaps a photo. Warnings sit next to the approve button; a figure your facts do not contain is named with its slide. If a post is nearly right, use Ask for changes ("remove the price on slide 3") rather than generating again: a fresh build costs one of the month's count and a revision does not.
Approved posts move to the Approved tab. That tab is your drip queue.
Step 5. Let it drip
At each publish time, plus the day's random delay, Autopilot takes the oldest approved post not yet published and posts it through the official Instagram API from your account. Generate them in the order you want them to appear, since the oldest build goes first. If a slot comes due and nothing is approved, the slot is skipped and the panel records it. Anything urgent can go out ahead of the schedule with Publish now on the post itself. The same loop watches published posts for your keyword and sends the DM; see the keyword funnel guide.
The approval rule
By default every post waits for a person. Publish without my approval, on the Autopilot panel, is the only thing that changes that. Off: a post nobody approved never goes out, however many slots pass. On: Autopilot approves and posts what it writes. Keep looking at the queue anyway, at least for the first month. Guests and demo logins can never approve, whatever the switch says.
For agencies: per client, in the same afternoon
Each client is a workspace with its own brand voice, facts, Instagram account, queue, Autopilot settings and 300 a month. Nothing leaks between them, and a price from one client cannot appear in another's post. The Unlimited plan at $249 a month covers as many workspaces as you run, with no charge per teammate. The routine above runs once per workspace:
- Create the workspace from the menu (New workspace) and name it for the client.
- Fill in that client's Brand voice and facts, and connect that client's professional Instagram account.
- Set that client's time zone and publish times in its Autopilot panel, and turn Autopilot on.
- Invite your account manager from the Team panel by email. Owners, admins and members can approve. Give the client a guest login: guests can generate and review, and cannot approve, publish, see billing or open any other workspace.
- Generate the client's month, approve it in house, and move to the next workspace.

Questions people ask
Is there a daily limit on how many posts I can generate?
No. The only limit is the monthly count per workspace: 100 carousels on One brand, 300 on Unlimited. Build them all in one afternoon or one a day. Autopilot publishes up to five a day, one per publish time.
Does a rejected post count against the monthly count?
Yes. Every build counts, whatever you decide about it afterwards. Fix a slide in the chat or the editor instead of generating again when the post is nearly right.
What happens if a publish time comes and nothing is approved?
Autopilot skips that slot and notes it. Nothing is published that a person has not approved, unless you switch on Publish without my approval.
